Telephone Responsibilities:

  1. Operate, answer, screen and forward incoming phone calls
  2. Ensure all voicemail messages to main office number are taken and directed to appropriate staff members via direct line, voicemail, and email


Front Office Management Responsibilities:

  1. Greet and welcome guests as soon as they arrive at the office
  2. Direct visitors to the appropriate person and office
  3. Ensure reception area is tidy and presentable
  4. Provide basic and accurate information in-person and via phone/email
  5. Receive, sort and distribute daily mail/deliveries
  6. Maintain office security by following safety procedures and controlling access via the reception desk
  7. Update calendars and schedule meetings
  8. Manage, coordinate, and prepare conference room depending on use
    Assist with catering needs for office meetings and events – manage and coordinate orders and set-up
  9. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing



  • 1-2 years experience as a Receptionist or Administrative Assistant is preferred; Experience in Customer Service is a plus
  • Strong communication skills, both written and verbal
  • Ability to multi-task and take initiative
  • Must have excellent customer courtesy, phone etiquette, organizational skills and should be able to collaborate well with teammates
  • Proficiency with MS Word, Excel, Power Point, Outlook and the Internet
  • Able to follow policies and procedures and provide detailed documentation
  • Maintain professionalism within the company and help to elicit the best image of Health Care Synergy
